The Data Exchange -Survey Import Process will import Survey details from an Excel spreadsheet that has been populated by a survey contractor or a 3rd party software package (SNAP or SAPS).
The format of the spreadsheet (attached at the bottom of this article) is defined by DR Systems and must be followed in order for Phoenix Connect to import the survey data correctly.
- One Excel file may contain several surveys that belong to one or more openings
- There will be some data validation before the Survey can be imported into Phoenix Connect.
Import Survey Data

Select Get File
(File format and structure must match the sample provided. File must have an extension of .xlsx) -
Load Data from Survey File.

Select an existing planned Survey to update or a new Survey Name to create a DONE Survey.
(Note: We use the Base, Technique, Method from the XLSX file to find Activity names in Master List with the same Base, Technique, Method) -
Check the Import Column on the Surveys that do not have Errors.

Import Surveys.
Errors
If any Rows have Errors, fix either the XLS file or the data in Phoenix to resolve them.
- Invalid File ID - fix spreadsheet to match what is in Phoenix
- Invalid SU - maybe SU A in spreadsheet but SU 1 in Phoenix - Fix Spreadsheet
- Su Area Error - Unit areas in spreadsheet need to match what is in Phoenix - Fix Spreadsheet
- Duplicate - Survey already exists on the File ID - we check for duplicate Base, Tech, Method, Area, Completed Date
File structure and/or requirements may change over time so it is very important to distribute the latest version of the Excel spreadsheet (attached) to contractors before they start loading information. It can save you a lot of time.
Import tips
File ID, Activity Base/Technique/Method and Area in the import file are used to locate a matching Planned Activity in Phoenix Connect. If no planned activity is found to update, a list of Activity Types (from the Activity master list) with the same Base/Tech/Method is displayed to select from to create a new Done activity.
When a blank line is reached in the import file (Eg. no data in any cell in a row) Phoenix Connect assumes this is the end of data to be imported.
The survey import functionality was built to import compiled survey data so if there are no tree count values (Layer Information columns or Crown Closure entered (CJ - CS), it thinks there is no data to import and will stop reading data.
Some potential causes for import issues:
- import file Base/Technique/Method does not match Phoenix Connect planned activity for that File ID, Activity Area, Target
- formatting of one or more dates in the import file do not match the example file
- some values in import file have too many decimal places
- import file linked to external data
- import file contains one or more blank lines before the end of the data
- no tree counts/crown closure in the Layer Information section: columns CJ - CS (at least one column must contain a value for each survey)
