A Lookup is a defined pick list designed to assist with data entry.
Lookup Groups (list names) contain a list of associated Lookup Codes. For example, the Lookup Group called species might contain a list of valid species codes. Once Lookup Groups are created, they can be assigned to fields in the Data Entry Rules tab. For information on Data Entry Rules, see this article: Data Entry Rules.
System Lookup Group Names and Codes have been created by DR Systems and are identified by italicized Group Names and Codes. These lists can be added to by users but the Lookup Group Name(s) and system codes can not be changed by users.
The Lookup tab is located under the Data Entry Tools menu item.
Lookup Code maximum number of characters = 45.
Lookup Groups
Add a Lookup Group
- Click +Add
- Name the Lookup Group
- Click Submit
Note: See Lookup Codes section below for managing codes in a Lookup Group.
Edit a Lookup Group
Disabled on system Group Names.
- Click the Group Name Pencil icon on the Lookups list grid
- Change the Group Name
- Click Submit
Note: Where the original Lookup Group Name has been assigned to a Data Entry Rule, it will be updated automatically.
Delete a Lookup Group
Disabled on system Group Names.
Deleting a Lookup Group will remove the Lookup from available selections in the Data Entry Rules.
- Click the Trashbin icon on the Lookups list grid for the appropriate Group Name
- Click OK
Note: Delete will be disabled where Group Names have been applied to Data Entry Rules.
Lookup Codes
Add a Lookup Code
- Click on the Group Name
- Click +Add
- Enter a Lookup Code (required)
- Enter a Description (optional)
- Click Submit
Edit a Lookup Code
Disabled on system Lookup Codes.
- Click on a Group Name
- Change a Lookup Code or Description
- Click Submit
Note: Where the original Lookup Code has been applied during previous data entry, the original value will remain as entered. Eg. It will not be updated.
Tip: Click on the Lookups tab to get back to the list of Lookup Groups.
Delete a Lookup Code
Disabled on system Lookup Codes. This will remove the Lookup Code from pick lists.
- Click on a Group Name
- Click the Trashbin icon on the far right for the appropriate code
- Click Submit
Note: Where the original Lookup Code has been applied during previous data entry, the original value will remain as entered. Eg. It will not be updated.
